Booking and Cancellation Policy

Why we ask you to book early

New Zealand Photography Workshops is a small, specialist operation. Our tours and workshops run with carefully managed group sizes, which means every place matters. When a cancellation happens close to departure, it is rarely possible for us to fill that spot — our marketing has wound down, guides are confirmed, and in many cases accommodation has been contracted with its own non-refundable terms. Our costs are largely committed well in advance, and a last-minute cancellation has a direct impact on our ability to deliver the experience you and your fellow participants deserve.

Booking early benefits you — it secures your place, gives you time to plan, and gives us the lead time to make the trip as good as it can be.

Travel Insurance — Please Read This Carefully

We strongly recommend that all participants take out comprehensive travel insurance at the time of booking. This is particularly important for domestic New Zealand participants, many of whom may not have travel insurance in place.

Travel insurance exists precisely to protect you in situations where you need to cancel through no fault of your own. A good policy will typically cover:

  • Medical emergencies — illness, injury, or the death of a close family member
  • Home emergencies — or other events requiring your immediate attention
  • Work-related issues — unexpected redundancy or critical change in circumstances
  • Camera equipment and personal belongings

Your deposit and any subsequent payments represent a real financial commitment, and travel insurance is the most effective way to protect that investment. Please check your policy carefully — some policies require you to take out cover at the time of booking, not the time of travel.

International participants should ensure their existing travel insurance covers the full duration of the tour including activities in remote outdoor locations.

NZ Tours & Workshops

This policy applies to all New Zealand multi-day workshops and tours (4 days and above).

Deposits

A non-refundable deposit of 15% of the total tour price is required at the time of booking to secure your place. You may pay in full at the time of booking if you prefer.

Final Payment

The remaining balance is due 90 days prior to the start date. If payment is not received by this date, we reserve the right to treat the booking as cancelled and retain the deposit.

If you are booking within 90 days of the start date, full payment is required at the time of booking.

Cancellations by the Client

All cancellations must be made in writing to info@photographyworkshops.co.nz. The date on which your email is received will determine the applicable charges:

Cancellations by Us

We reserve the right to cancel a tour due to unforeseen circumstances. In this event, we will offer you an alternative date or a full refund if the alternative date does not suit. Tours require a minimum number of participants — in the extremely rare occasion minimum numbers are not reached, you will be notified no later than 60 days before the tour, offered a full refund or transfer to another date.

Overseas Tours

This policy applies to all international photography tours.

Deposits

A non-refundable deposit of 25% of the total tour price is required at the time of booking to secure your place. You may pay in full at the time of booking if you prefer.

Final Payment

The remaining balance is due 90 days prior to the start date (120 days for Antarctica). If payment is not received by this date, we reserve the right to treat the booking as cancelled and retain the deposit.

If you are booking within 90 days of the start date (120 days for Antarctica), full payment is required at the time of booking.

Credit Card Surcharge

If paying by Credit Card the credit card surcharge (2.5% of amount paid) in non refundable.
