New Zealand Photography Workshops is a small, specialist operation. Our tours and workshops run with carefully managed group sizes, which means every place matters. When a cancellation happens close to departure, it is rarely possible for us to fill that spot — our marketing has wound down, guides are confirmed, and in many cases accommodation has been contracted with its own non-refundable terms. Our costs are largely committed well in advance, and a last-minute cancellation has a direct impact on our ability to deliver the experience you and your fellow participants deserve.
Booking early benefits you — it secures your place, gives you time to plan, and gives us the lead time to make the trip as good as it can be.

We strongly recommend that all participants take out comprehensive travel insurance at the time of booking. This is particularly important for domestic New Zealand participants, many of whom may not have travel insurance in place.
Travel insurance exists precisely to protect you in situations where you need to cancel through no fault of your own. A good policy will typically cover:
Your deposit and any subsequent payments represent a real financial commitment, and travel insurance is the most effective way to protect that investment. Please check your policy carefully — some policies require you to take out cover at the time of booking, not the time of travel.
International participants should ensure their existing travel insurance covers the full duration of the tour including activities in remote outdoor locations.
This policy applies to all New Zealand multi-day workshops and tours (4 days and above).
A non-refundable deposit of 15% of the total tour price is required at the time of booking to secure your place. You may pay in full at the time of booking if you prefer.
The remaining balance is due 90 days prior to the start date. If payment is not received by this date, we reserve the right to treat the booking as cancelled and retain the deposit.

Tours require a minimum number of participants — in the extremely rare occasion minimum numbers are not reached, you will be notified no later than 60 days before the tour, offered a full refund or transfer to another date.

We reserve the right to cancel a private tour due to unforeseen circumstances. If the tour is cancelled, we will arrange an alternative date or provide a full refund if the alternative does not suit.
Our tours and workshops are designed for photographers who are fit, healthy and able to take part in all tour activities. Days often involve early starts, long hours in the field, walking on uneven ground and outdoor conditions that can change quickly. Each tour page sets out the level of fitness required, so please check this before you book.
Our guides look after the whole group and are not able to provide one on one care or personal assistance, so you’ll need to be able to manage your own personal care, mobility and any medication independently.
When you book, you’ll be asked to complete and sign our electronic safety waiver. It only takes a few minutes, and asks you to:
Your safety waiver must be completed and signed before the tour starts. Participants who haven’t completed a waiver won’t be able to join the tour.
If you have a medical condition, disability or support need, please let us know. We’ll be in touch to talk it through with you and make sure the tour is the right fit. If you’re planning to travel with a support person or carer, please tell us when you book and we can go from there.
Please give us an emergency contact who is someone other than yourself. They should be someone we can reach during the tour and who, if needed, could help arrange for you to return home.
Any health or personal information you share with us is used only to plan your tour and keep you safe. It is shared only with your guides and, in an emergency, with medical services or your emergency contact.
If paying by Credit Card the credit card surcharge (2.5% of amount paid) in non refundable.
